These Terms and Conditions ("Terms") govern the coaching services provided by Racqed Coaching, in relation to padel & tennis coaching for children and adults. By booking, paying for, or attending any session, you ("you", "the Client", or where the participant is a child, their parent or legal guardian) agree to these Terms. Please read them carefully.
If you are booking on behalf of a child under 18, you confirm that you are their parent or legal guardian and that you accept these Terms on their behalf.

2. Services
We provide racket sports coaching, including individual lessons, group sessions, junior coaching, camps, clinics, and related activities (together, the "Services"). The exact format, duration, location, and content of each session will be agreed with you at the time of booking. We will perform the Services with reasonable care and skill, in line with the Consumer Rights Act 2015.
We reserve the right to substitute coaches of equivalent experience where necessary, and to adjust session content based on participant numbers, ability, and conditions on the day.
3. Bookings
A booking is confirmed only once you have received written confirmation from us (by email or our booking system) and any required payment or deposit has been made. Places are allocated on a first-come, first-served basis and are subject to availability.
You are responsible for ensuring that the information you provide at booking (including contact details, medical information, and a child's age) is accurate and kept up to date.
4. Fees and Payment
Fees are as stated on our website or as quoted to you at the time of booking. For block bookings, courses, or camps, payment terms will be confirmed at booking.
We may use a third-party payment provider; your use of it is subject to their terms. We reserve the right to change our fees from time to time, but changes will not affect bookings already confirmed and paid for.
5. Cancellations and Rescheduling
5.1 Cancellation by you
To cancel or reschedule a session, please give us at least 24hours notice by email or booking system. Cancellations made with the required notice: you may reschedule, or refund. Cancellations made with less than the required notice, or non-attendance ("no-shows"): the session is charged in full.
5.2 Online bookings — 14-day cooling-off period
If you book online or otherwise at a distance, you have the right to cancel within 14 days of booking under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, and to receive a refund. However, if you ask us to begin the Services within that 14-day period and they are fully performed, you lose the right to cancel; if the Services are partly performed, we may charge a proportionate amount for what has been provided.
5.3 Cancellation by us
We may cancel or reschedule a session (for example, due to coach illness, low numbers, facility closure, or unsafe conditions). Where we cancel, we will offer you a suitable alternative session, a credit, or a refund of the fee paid for the cancelled session.
6. Lateness and Missed Time
Sessions start and finish at the scheduled time. If you or your child arrive late, the session will still end at the scheduled time and no refund or extension is given for missed time. If a coach is delayed, we will make reasonable efforts to provide the full session time or an appropriate alternative.
7. Weather and Conditions
Sessions are often held outdoors. We will run sessions in most weather. We will only cancel for safety reasons (for example, lightning, high winds, or unplayable surfaces). If we cancel a session for weather or safety reasons, clause 5.3 applies. Sessions are not cancelled or refunded for rain alone unless conditions are unsafe.
8. Children and Young People
The welfare of children attending our Services is our priority.
Parental responsibility: A parent or guardian must complete all registration and consent information before a child's first session and keep it current.
Drop-off and collection: Unless agreed otherwise in writing, parents/guardians are responsible for dropping off and collecting children promptly and for their child outside of session times. We are not responsible for children before sessions begin or after they end.
Supervision: Our coaches supervise children during sessions only. We are not a registered childcare provider.
Behaviour: We expect children to follow coach instructions and behave safely and respectfully. We may remove a child from a session for unsafe or persistently disruptive behaviour, and will contact the parent/guardian.
Safeguarding: We follow safeguarding good practice in line with David Lloyd Shawfair and LTA safeguarding standards. Safeguarding concerns can be raised with headcoach@racqedcoaching.com
Medical and emergency: By enrolling a child, the parent/guardian authorises us to seek appropriate emergency medical treatment if they cannot be reached, and confirms they have disclosed all relevant medical conditions.
9. Health, Fitness and Medical Information
Padel & tennis is a physical activity. By participating, you confirm that you (or your child) are physically fit to take part and have disclosed any medical condition, injury, allergy, or other matter that may affect participation or safety. You should consult a doctor before starting if you are unsure. You must inform us promptly of any change. You participate at your own risk and are responsible for stopping and seeking help if you feel unwell.
10. Assumption of Risk and Liability
You understand that participation in sport carries inherent risks, including the risk of injury, and you accept those risks voluntarily.
Nothing in these Terms limits or excludes our liability for: (a) death or personal injury caused by our negligence; (b) fraud or fraudulent misrepresentation; or (c) any liability that cannot be limited or excluded under English law.
Subject to the above, we are not liable for:
loss, theft, or damage to personal property brought to sessions; injury or loss arising from your failure to disclose relevant medical information, to follow reasonable instructions, or to use appropriate equipment; any indirect or consequential loss.
Subject to the first paragraph of this clause, our total liability arising out of or in connection with the Services shall not exceed the total fees paid by you for the Services giving rise to the claim. We are not liable for failures caused by matters beyond our reasonable control (see clause 15).
11. Code of Conduct
We expect all participants and accompanying adults to behave respectfully towards coaches, staff, other participants, and facility users, and to comply with the rules of the venue. We may refuse, suspend, or terminate Services (without refund) in cases of abusive, threatening, discriminatory, or unsafe behaviour.
12. Equipment and Facilities
Where rackets or balls are provided, they must be used appropriately and returned in good condition; you may be charged for loss or deliberate damage. You are responsible for wearing suitable sportswear and non-marking court shoes. Use of the venue is subject to the venue's own rules and terms.
13. Photography and Media
From time to time we may take photographs or video during sessions for coaching, promotional, or social media purposes. You can request us not to use any of photographs, or ask us to remove a specific image, at any time by contacting us at headcoach@racqedcoaching.com
You must not film or photograph other participants (especially children) without their, or their guardian's, consent.
14. Data Protection and Privacy
We process personal data (including, for children, data provided by a parent/guardian) in accordance with the UK GDPR and the Data Protection Act 2018. We collect information such as contact and medical details to deliver the Services safely. 15. Events Beyond Our Control (Force Majeure)
We are not liable for any failure or delay in performing the Services caused by events beyond our reasonable control, including severe weather, facility closure, power failure, illness, government restrictions, or other emergencies. Where such an event prevents a session, clause 5.3 applies.
16. Complaints
We aim to provide an excellent service. If you are unhappy with any aspect of the Services, please contact us at headcoach@racqedcoaching.com and we will do our best to resolve the matter promptly.
17. Changes to These Terms
We may update these Terms from time to time. The version published on our website at the time of your booking applies to that booking. We will post the current version at https://www.racqedcoaching.com and update the "Last updated" date above.
